Deposit and securing dates

To architect a premium tournament experience, AthletiCore Company requires a non-refundable deposit upon agreement of the event brief. This deposit is essential for us to execute immediate venue lock-downs, secure FA-qualified referees, and commence bracket construction. The specific deposit amount varies based on the selected logistics tier.

Cancellation by organizer

If an organizer chooses to cancel a confirmed event outside of the standard 14-day statutory cancellation window, the initial deposit is forfeit. If cancellation occurs within 30 days of the event date, organizers may be liable for up to 50% of the total estimated operational cost due to unrecoverable commitments made to third-party venues and staff.

Weather contingency plans

AthletiCore Company operations directors build robust contingencies into every outdoor format. If severe weather renders a venue unsafe, we will attempt to enact a delay protocol. If full postponement is mandated by venue safety officers, we will work with you to secure an alternative date without charging additional agency fees, though venue transfer costs may apply.

Venue-related forced changes

In the rare event that a secured venue cancels our booking due to unforeseen circumstances on their end, AthletiCore will take immediate responsibility for sourcing an equivalent or superior elite venue within a reasonable radius, at no extra cost to the organizer.

Timeline for refund processing

Where a refund is applicable (e.g., cancellation within the 14-day window before operations commence), funds will be processed back to the original corporate payment method within 10-14 working days of formal approval.

Dispute resolution

Any disputes regarding deposit retention or refund eligibility should first be directed to your assigned operations director. We value our corporate relationships and will strive to find an equitable logistical solution before escalating to formal financial dispute processes.
